Same-Day Round Trip Travel Policy
One of the biggest advantages of flying with Capital Air Express is the ability to travel somewhere, take care of business (or have a little fun!), and be home the same day. We operate same-day round trips regularly, but aviation is always subject to variables outside anyone’s control. If you’re traveling for an important meeting, wedding, concert, appointment, special event, or anything else you absolutely cannot miss, we encourage you to build some flexibility into your plans.
1. SAME-DAY TRAVEL & IMPORTANT EVENTS
We will always make every reasonable effort to operate your trip according to schedule, but departure and arrival times cannot be guaranteed. Weather, Air Traffic Control, airport closures, temporary restrictions, maintenance issues, and other unexpected circumstances can occasionally cause delays or changes.
If arriving late would mean missing something particularly important or costly, we strongly recommend traveling the day before whenever possible. The tighter the timeline, the less room there is to work around an unexpected delay.
2. GIVE YOURSELF SOME BREATHING ROOM
When planning your trip, we recommend leaving reasonable time between your expected arrival and the start of your meeting, appointment, event, or reservation.
Flying directly into a nearby regional airport can save a tremendous amount of travel time, but we still recommend avoiding an itinerary where everything has to go perfectly for you to arrive on time.
3. AIRPORT CLOSURES & ALTERNATE AIRPORTS
Occasionally, an airport may become unavailable because of weather, an incident on the runway, construction, temporary restrictions, or another unforeseen circumstance.
If that happens, we’ll let you know which alternate airports we can safely and legally serve. You choose the option that works best for your plans, and we’ll take care of the flying.
4. ALTERNATE AIRPORTS & GROUND TRANSPORTATION
If you choose to use an alternate airport, passengers are responsible for arranging any rental cars, rideshares, private transportation, hotels, or other accommodations they may need.
Our team is happy to provide available airport options, but Capital Air Express does not arrange or coordinate ground transportation or other travel services. Once you decide which option works for you, let us know and we’ll adjust the flight accordingly.
5. CHANGES TO FLIGHT COST
If an alternate airport, additional flight leg, fuel stop, repositioning, or passenger-requested itinerary change results in additional flight time or expense, additional charges may apply.
Whenever reasonably possible, we’ll communicate those costs before proceeding so you can decide which option makes the most sense for you.
6. DELAYS & SCHEDULE CHANGES
Weather and ATC delays can occur even when conditions at your departure and destination airports look perfectly fine. Sometimes the issue is somewhere along the route or within the larger air traffic system.
We’ll keep you informed as conditions develop and will always look for reasonable alternatives when they’re available.
7. DIVERSIONS
Conditions can also change after your flight is underway. If weather, ATC, airport conditions, fuel requirements, safety considerations, or another operational issue prevents us from reaching the planned airport, the flight may need to divert.
Our pilots will always prioritize getting everyone safely on the ground. If a diversion occurs, passengers are responsible for arranging any necessary ground transportation or accommodations from the diversion airport.
8. CANCELLATIONS & TRAVEL CREDITS
Circumstances outside Capital Air Express’s control, including weather, ATC restrictions, or airport closures, do not automatically qualify a trip for a refund.
If we cannot operate the trip as originally planned, we’ll work with you to identify reasonable alternatives whenever possible. If you choose not to use an available alternative, or circumstances prevent the trip from being completed, our standard cancellation and flight-credit policies will apply.
9. WHEN PLANS NEED TO CHANGE
When the unexpected happens, our job is to communicate the aviation options available to you and do everything reasonably possible to keep your trip moving. Your job is simply to decide which option works best for your plans and let us know.
Our operations team cannot plan alternate ground transportation, research rental cars, coordinate hotels, or reorganize the rest of your itinerary. This allows us to stay focused on safely managing your aircraft, crew, airports, and flight.
A LITTLE FLEXIBILITY GOES A LONG WAY
Same-day private travel can turn what would otherwise require an overnight stay into an easy day trip, and that’s exactly why so many of our passengers fly with us. Most trips operate just as planned—but aviation occasionally has other ideas.
If something on your schedule truly cannot be missed, give yourself a little extra breathing room. We’ll take care of the flying and keep you informed every step of the way.
